The Operations Coordinator works closely with the Operations Manager to ensure that Dwight Hall is a welcoming and useful space for as many people as possible and that operations run smoothly. The Dwight Hall Operations team oversees the building and event spaces, a fleet of vehicles, equipment, office supplies and storage. The role combines customer service and interfacing with students, staff and community members who use Dwight Hall and behind-the-scenes administrative and physical tasks required for efficient care of our spaces and resources.
Responsibilities include:
– Twice weekly sweeps of each room in the building to make sure all furniture and accessories are where they should be (Ideally, this should take place on Mondays and either Thursday or Friday)
– Coordination of equipment reservations and follow up to ensure that equipment is returned in a timely manner and in good condition
– Coordination of fleet including electric car charging and regular cleaning of vehicles
– Coordination of kitchen use and distribution of leftovers to community kitchen
– Management of vehicle, room and equipment reservations systems in absence of Operations Manager
– On-call support for after-hours resource needs such as key and equipment pick ups
– Support for special event coordination especially weddings and major events, responsible for finding replacement when unavailable for event coordination
– Support for delivery of orientation re: use of Dwight Hall vehicles at least once each semester and more generally support communication around resource policies via email, website, flyer, etc.
– Input on fee waiver applications
– Submission of green light requests as needed
Job Requirements:
– Federal Work Study eligibility
– Valid driver’s license and willingness to drive around New Haven as needed
– Good organization and communication skills
– A reliable worker who will stick to a set weekly/biweekly schedule even during busy times of the year (shifts should be on Mondays and either Thursday or Friday)
– Willingness to be on-call and occasionally work on evenings and weekends to handle emergencies
– Occasional Saturday availability for special events like weddings
Our ideal candidate will have:
– Previous customer service or office coordination experience
Hours: 6-10/week
Hourly Rate: $16.50/hr
